PAYMENT METHOD

Please remember that registration is not complete until payment of the registration fee is confirmed. There are two options for registration payment: (1) PayPal or (2) Bank Transfer. See details below,

PAYMENT BY PAYPAL / CREDIT CARD

  1. Is the registration fee payable by credit card? Yes. We encourage credit card payment through the PayPal link. It is not necessary to have a PayPal account.
  2. May I pay using my friend or family member’s credit card? Yes. Please be sure to include your relevant information in the payment, or send us an email to confirm your name and the name of the person paying on your behalf.
  3. Will I receive a receipt? Yes. PayPal will issue you an automatic receipt when your payment is confirmed.

INTERNATIONAL PAYMENT BY BANK TRANSFER

We permit registration by international bank transfer. Please note the following conditions:

  1. Registration paid by international bank transfer requires an additional 6000 JPY on top of the registration fee to offset excessive wire fees charged by the bank.
  2. If another person is paying on your behalf, please let us know the name in advance.
  3. In some cases, bank transfers may take several days to confirm receipt of your payment.
  4. To receive our bank transfer details, please contact the Secretariat.

DOMESTIC (ATM) PAYMENT BY BANK TRANSFER

  3. In some cases, bank transfers may take several days to confirm receipt of your payment.

REFUND POLICY

All requests for refunds must be sent to the Secretariat no later than Friday, August 16, 2019.

ONSITE REGISTRATION

Onsite payment is permitted on a case-by-case basis. Please note the following conditions:

  1. The onsite registration fee for audience, oral and poster presenters is 30,000 JPY.
  2. The onsite fee amount is 30,000 JPY regardless of when you submitted your request.
  3. Payment by credit cards or other foreign currency is not permitted.

SECURITY

Due to strict security measures in the hotel, badges must be worn at all times when attending event functions. Anyone not wearing a badge will be denied entrance by security.

REGISTRATION FAQ

General Information

  1. Who should register? All presenters and audience must register to receive a receipt and certificate.
  2. May children attend the conference? No. Children under the age of 16 years old cannot attend.
  3. What does the registration fee include? The registration fee includes: entrance to the plenary, poster and panel sessions, access to the proceedings, a printed schedule book, name badge and light snacks.
  4. Does the registration fee include the cost of mailing conference materials? No. If you need a hard copy acceptance letter, certificate, program or other documents, then additional costs will apply.

Refund Policy

  1. What is the refund policy? All requests for refunds must be sent to the Secretariat no later than Friday, August 16, 2019.
  2. May I switch to virtual presenter, if I am unable to attend after registering? Yes. Kindly contact us in advance so that we may credit your participation as a virtual presenter.

Official Certificates of Presentation and Participation

  1. Will I receive an Official Certificate of Presentation? Yes. All oral, poster and virtual presenters who have registered and successfully presented their presentation will receive a certificate.
  2. What information is included on the Certificate of Presentation? The certificate includes your name, your institution name, and the title of your presentation. The certificate carries the official stamp and signature of the organizers.
  3. Do audience members receive a Certificate of Participation? Yes. The certificate includes your name, your institution name, and verification that you participated.

Invitation Letters

  1. How can I know if I need a visa for travel?
    Contact the nearest Embassy or Consulate of Japan for details.
  2. What visa support is provided by the organizers?There are two types of invitation letters: a PDF acceptance letter with an invitation to present, which the organizers provide free-of-charge to all accepted proposals; the second type is a formal invitation letter for travel, which will be provided for free on a case-by-case basis to confirmed registrants only. Formal hard copy invitation letters mailed by express mail service are 10,000 JPY.
  3. What if my visa application is rejected?
    All decisions by the Ministry of Foreign Affairs are final. We cannot and will not assist you if your travel application is rejected.

Scholarships and Funding

Do you offer scholarships or provide funding for participants? We are no longer accepting or considering applications for funding. This is a small event and our budget is very limited. We hope to offer more funding next year. Thank you.
